What if it doesn't work out?

You start with a free trial month in your own finance environment. During that month we fully configure Smartbooks for your situation and you run at least one full month-end close — so you can see the value in your own figures. Nothing is invoiced. No subscription, no implementation costs, no notice period. You evaluate Smartbooks on a fully configured system, not on a demo. Doesn't suit you? Then it stops there, at no cost. This is set up deliberately: we know that trying out a new tool is a risk you have to defend internally, so we take that risk away.

What is included in the implementation costs?

Accepted Answer

The implementation covers fully configuring Smartbooks for your situation: connecting your accounting system(s), setting up the financial structure, thinking along about your reporting needs, configuring consolidation and budget models, and training your team. No separate track afterwards, but a fixed project price so you know up front where you stand. The setup itself goes quickly — 2 to 5 project days with our proven methodology — and we plan the trainings at the pace of your team, so no one is overwhelmed.

How quickly can I get started with Smartbooks?

Accepted Answer

On day one you connect your accounting system — connected in 10 minutes. Within two days your data is live in Smartbooks and you can work in it directly, regardless of the number of entities. Over the next two weeks we configure the reports, consolidation and budgets together to your own structure, and we train your team. After 14 days on average your finance team works independently in the environment. Time investment from your side: 10 to 20 hours. No long implementation track, no consultant who stays for months.

How does Smartbooks deal with entities in foreign currencies?

Accepted Answer

Entities in foreign currencies are automatically converted to your group currency during consolidation. Exchange differences are calculated and posted automatically — your P&L and balance sheet always reconcile. By default we use current exchange rates. Want to apply your own rates, for example from group treasury? You can configure that per entity.

How up-to-date are the figures?

Smartbooks refreshes data automatically several times per hour from your accounting system. In practice you are therefore always looking at virtually real-time figures. Need fresh data sooner, for example just before an MT meeting? Then trigger a manual refresh and the new data is in Smartbooks within a minute.

Is it possible to add minority interests?

Accepted Answer

Yes. For each entity in the consolidation you set the ownership percentage, both for 100% subsidiaries and for minority interests. Smartbooks then consolidates proportionally based on that percentage. Do those interests change over time — for example after an acquisition or buy-out? Then set a different percentage per effective date. Historical periods stay correct without you having to recompute anything.

Does Smartbooks support sub-consolidations and more complex consolidation structures?

Accepted Answer

Yes. You build your consolidation the way your group is structured — with sub-consolidations per region, division or sub-holding. Each intermediate level gets its own total, which automatically rolls up into the group consolidation. Intercompany eliminations, currency translation and minority interests work at every level the way you configured them. This way you can consolidate more complex group structures — holdings, joint ventures, international subsidiaries — in a single environment, without separate Excel files per branch.

Does Smartbooks work with our accounting software?

Accepted Answer

Most likely. Smartbooks connects directly to Exact Online, Twinfield, AFAS, QuickBooks and Odoo — connected in 10 minutes, no IT track. For Exact Globe we set up the connection together with you. Xero, Microsoft Business Central and SAP Business One are on the roadmap. Do your entities use different packages? No problem. Each entity can have its own source system — Smartbooks consolidates everything into one environment. Is there an entity with a less common package? Then there are two options: directly via an API connection that we set up together, or via Excel uploads in a separate entity. That way you get all entities within the group included, regardless of their source system.

What about data security?

Smartbooks runs on a secure cloud infrastructure with encryption in transit and at rest. We are GDPR-compliant and data from different customers is strictly segregated. You manage user permissions per person and per entity, with three roles: Admin, Contributor and Viewer. Within that you can refine further per user: only access to specific reports, only certain cost centers visible, and optionally no drill-down to underlying transactions. This way an operational manager sees only their own BU figures, while management sees the group overview — without the finance team having to manage multiple files side by side.
